Administrative Assistant II General Description:
Provides a full range of administrative support to director and department.
Duties include general clerical, receptionist, and project based work.
Project a professional image through in-person and telephone interactions ensuring excellent customer service.
Responsible for maintaining accurate and timely information, including, but not limited to divisional tribal and GSA transportation reports and other requested reports, for the Director of Senior Information.
Also, responsible for assisting the Director with Over-The-Counter (OTC) Medication program, Elder Veterans Jacket program and other special projects.

Clerk II - Receptionist Supervision Essential Job Functions:
Performs general clerical duties to include, but not limited to, photocopying, faxing documents, filing, distribution of departmental and company emails, prepare and distribute mail based on the needs of the department/division.
Prepares correspondence, letters and memoranda, including materials of a confidential nature, independently or from oral instruction and submits for approval Assists with special projects of the Aging Division, such as special events Coordinates with Aging Administration budget assistant on requisitions, BPA's and other budget items regarding Home Maintenance program.
Promotes employee professionalism, teamwork and motivation.
Responsible for receiving, reviewing and verifying data for accuracy, completeness and compliance with established procedures of all transportation reports for Home Maintenance.
Responsible for documentation of all maintenance to all vehicles for Home Maintenance.
Responsible for contacting vendors and scheduling vendors at the request of Home Maintenance Director.
Responsible for maintaining cuff accounts for Home Maintenance.
Maintain detailed call log for all calls coming into Home Maintenance office.
Prepares and mails US/UPS/FED EX packages, as needed.
Works independently.
Informs the director of situations requiring additional attention.
Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs and maintaining equipment supply inventories Trains and provides work direction to assigned support staff; monitors work flow and assures compliance with established time lines, procedures and standards of quality.
Completes operational requirements by scheduling and assigning administrative projects; expediting work results.
Creates and modifies documents using Microsoft Office Suite.
Maintains and distributes team weekly schedules to Executive Officer and staff.
Supports team in assigned project based work Receives office visitors and ensures they receive the assistance needed.
Schedule and communicate meetings (internal and external) for director.
Analyze and suggest procedure improvements for overall efficiency Supervising the work of clerk II and may assign extra duties.
Making travel arrangements:
when the director or departmental staff have to travel Maintaining confidentiality in all aspects on the organization's dealings and workings Prepares agendas and schedules for meetings, as requested.
Create and maintain department employees' training curriculum, event calendars and employee records based on the need of the department.
Represents the director, as delegated, in meetings and/or work groups regarding issues pertinent to the program provided by Home Maintenance Director.
Directs callers to destination and may resolve routine inquiries for the department.
Treats all elders with respect and maintains a cooperative attitude with other employees to facilitate quality customer service.
Adheres to the department's standard of conduct.
Order and maintain an adequate inventory of office supplies, forms and equipment.
Receives and directs visitors and clients.
Maintains electronic and hard copy filing system Accompanies the director to conferences and meetings:
and follow-up with a report of conferences/meetings.
Makes travel arrangements when Home Maintenance director and/or team has to travel in official capacity Possesses the desire to work with and improve the quality of life of Chickasaw Nation elders.

Minimum Qualifications Knowledge, Skills, and Abilities:
Required - Must have expertise knowledge of Microsoft Office Suite.
Required - Must be able to communicate orally and in writing with all levels within the organization.

Required - Must have an Oklahoma driver's license and good driving record.
Required - Must have Chickasaw Nation Administrative Assistant Certification Required - CPR & First Aid certification Required - Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks and participating in professional societies.
Required - Must pass a thorough background check.
